THE CLIENT

A Berlin school of art & science running children's courses and seasonal camps

Clavis Schule für Kunst und Wissenschaft, based in Prenzlauer Berg, Berlin, runs creative and science programs for children — drawing, fashion design, animation, photo, manga, theatre and a science lab — in small, multilingual groups (German, English, Russian). It sells two product types: year-round courses on a subscription model and seasonal holiday camps offered four times a year. Behind the storefront sits a real operation — parents, children, teachers, schedules, attendance and payments — that all has to stay in sync.

The challenge

What wasn't working

Clavis was growing across year-round courses and four camp seasons a year, but the operation behind it was held together by hand. Every booking had to be turned into operational data manually, across tools that didn't talk to each other — a pain point the school flagged repeatedly — and that approach doesn't scale, especially when minors' personal and medical data is involved.

  • Everything ran on manual data transfer. Each course or camp purchase meant re-keying parent, child and payment details into separate places. There was no single source of truth, and the manual cycle was slow and error-prone — the team's biggest day-to-day frustration.
  • Sales and operations were disconnected. The existing e-commerce system, payments, CRM leads and student records weren't linked. There was no automated path from "a parent books a course" to "the child appears in a teacher's schedule and the payment is recorded."
  • Sensitive data, subscriptions and a lead funnel. Handling minors' personal and medical data (names, dates of birth, allergies) called for careful, isolated data handling — alongside recurring subscription billing for courses and a trial-lesson lead funnel that all had to run correctly.

What we built

Encomage designed and built a no-code/low-code ecosystem that connects six platforms through n8n, turning a manual workflow into an automated enrollment-to-classroom pipeline.

Connected storefront on ReadyMag + Ecwid

Custom widgets surface the Ecwid catalogue (camps & courses) inside ReadyMag landing pages with a seasonal "season switch," styled to match the design — plus a streamlined cart and required per-child fields (name, date of birth, allergies, pickup consent, terms).

Secure API Bridge microservice

A proxy that isolates Ecwid API tokens and shields sensitive order data from the frontend — so the storefront can read catalogue data without exposing secrets.

Automated data orchestration with n8n

Order webhooks trigger a find-or-create flow that splits multi-item orders, builds Parent → Child → Course relational links in Airtable, maps SKUs to internal course codes, parses addresses, and syncs payment status in real time.

Trial-lead funnel via Pipedrive

ReadyMag trial forms create Deal and Contact records in Pipedrive (tagged Trial_Lead) and mirror into Airtable; closing the deal flips the student to Active automatically — no re-entry.

Airtable as an operational system, not a spreadsheet

An 11-table relational schema with an app-like Interface (Interface Designer): admin dashboards with global student search and visual student cards, teacher attendance dashboards, drag-and-drop timeline scheduling, role-based access (owner / admin / teacher / parent), automated absence and reschedule emails, and reporting views (fill rate, revenue, churn, demographics).

A secure API Bridge microservice (Docker / Hetzner) sits between the storefront and Ecwid, isolating API tokens and order data. A closed Pipedrive deal flips the student to Active in Airtable with no re-entry.

Six platforms, one connected ecosystem. A booking on the ReadyMag/Ecwid storefront flows through Stripe and n8n into an Airtable operational database — every purchase becomes a fully linked parent–child–course record automatically, with no manual re-entry.

What we delivered

Encomage delivered a complete, integrated MVP ecosystem — fully designed, built and tested — ahead of the school's planned August go-live. Rather than a set of disconnected tools and manual hand-offs, Clavis now has a single automated pipeline ready to run the business end to end.

Enrollment → classroom pipeline

A purchase flows from the ReadyMag/Ecwid storefront through Stripe and n8n into a relational Airtable database, linking parent, child, payment and course with no manual re-entry.

App-like ops hub for staff

An 11-table Airtable base with role-based dashboards: admins search students and see full histories; teachers mark attendance and manage their schedule; parents get limited, link-based access.

Flexible commerce built in

One-time camp bookings and monthly course subscriptions on Stripe, with promo-code and sibling/multi-course discount logic.
